Note: before you begin, make sure that you are on the campus network before starting this process or the mass mail account creation process in Outlook will fail. This is due to an issue with accessing the appmail server from IP addresses outside of the UConn network. This issue is being worked on, but there is no fix at the moment, and using the Cisco Anywhere “General” VPN does not resolve the issue.

Requesting a Mass Mail Account

Before configuring a mass mail account, you must request a mass mail account by emailing massmail@uconn.edu.

Once you receive credentials for mass mailing from the e-mail team, you can use them to configure the account by following the instructions below.

  • 3 Remove the existing shared mailbox account
  • 4 Add the mass mail account
  • 5 Add the mass mail account and shared resource account

Remove the existing mass mail account

This section would only apply in cases where an existing mass mail account may be present in Outlook, or an Office 365 shared resource account may exist. If you do not have an existing mass mail account configured, please proceed to the next section.

  1. In the Outlook client, select the mass mail account.

  2. Right-mouse click on the account name, then click on Remove.

  3. At the prompt to remove the account, click Yes.

  4. The account should now be removed from the Outlook client. The process should be instant, and it may initially appear with no changes, even though the mass mail inbox is removed.

If you accidentally chose a Office365 shared resource account to be removed, Outlook will appear busy for a bit, then show the following dialog box telling you to remove the account using another method.

  1. To remove the Office 365 shared resource account, choose File > Account Settings > Account Settings… option.

  2. In the Account Settings dialog box, select your primary inbox, then click Change

  3. In the Exchange Account Settings dialog box, click on More Settings.

  4. In the Microsoft Exchange dialog box, click on Advanced tab.

  5. In the Microsoft Exchange dialog box, click Advanced tab, select ‘shared resource account’.

  6. Click Remove to remove the shared resource account login.

  7. At the “Are you sure” dialog box, click Yes.

  8. The account should be removed from the list of mailboxes. Click OK.

  9. In the Exchange Account Settings dialog box, click Next.

  10. In the Account successfully updated dialog box, click Done.

  11. In the Account Settings dialog box, there should be no visible change. Click Close.

  12. The account should now be removed from the list of inboxes.

At this point, exit Outlook and open it again to make sure the changes have taken effect. Once this is done, you are ready to add the mass mail and shared resource account inboxes back to Outlook.

Add the mass mail account

If a shared mailbox exists with the same email address as the mass mail account, go to the instructions that follow this set.

  1. In outlook, navigate to File > Account Settings button > Account Settings… option

  2. In the Account Settings dialog box, select New

  3. Enter the name of your mass mail account in an email format, appending “@appmail.uconn.edu” to the account name.

  4. Check the Let me set up my account manually option

  5. Click on Connect.

  6. After clicking Connect, Outlook may appear to do nothing for about 60 seconds. This is normal.

  7. In the Outlook dialog box, choose IMAP.

  8. In the IMAP Account Settings dialog box, enter the server information
    Incoming mail
    Server: appmail.uconn.edu
    Port: 993
    Encryption method: SSL/TLS

    Outgoing mail
    Server: massmail.uconn.edu
    Port: 587
    Encryption method: STARTTLS

  9. Click Next.

  10. Provide the password for your mass mail account. If you are unsure what the account password is, contact the Technology Support Center.

  11. When the Account is successfully added, click Done.

  12. Back in the Account settings dialog box, click Close.

  13. Outlook should now show the mass mail account in the list of your inboxes.

Note: For people not on the campus or using a VPN, you may see Synchronization Log Messages as Outlook attempts to log in to the IMAP account. This is due to a problem with the firewall rules that will be fixed before the general rollout. Using the UConn VPN or opening Outlook from on campus eliminates this problem.

If a shared mailbox exists with the same email address as the mass mail account (to view email responses and non-delivery notifications), please follow the steps below to add that mailbox to Outlook:

  1. In Outlook, go to File > Account Settings > Account Settings

  2. In the Account Settings dialog box, select your primary inbox, then click Change…

  3. In the Exchange Account Settings dialog box, click More Settings.

  4. In the Microsoft Exchange dialog box, click on Advanced tab.

  5. In the Microsoft Exchange dialog Advanced tab, click Add.

  6. In the Add Mailbox dialog box, add the email address of the Office 365 shared mailbox.

  7. Click OK.

  8. If the account information was entered correctly, it should now appear in the list of mailboxes. Click OK.

  9. In the Exchange Account Settings dialog box, click Next.

  10. In the Account successfully added dialog box, click Done.

  11. In the Account Settings dialog box, there should be no visible change. Click Close.

To view the Office 365 shared resource account inbox, you will need to exit Outlook, then open it up again. If there were any previous emails sent to this account, these emails should be visible. If there are a large number of emails in the mailbox, it may take some time for all the messages to be downloaded it into your Outlook client.
